When you apply for a vacant position on the Allwyn Careers Website, the personal data contained in your application will be collected by Allwyn International AG, located at Mühlenplatz 9, 6004 Lucerne in Switzerland. Allwyn International AG is part of a group of companies and referred to as “we”, “us”, “our group” in this privacy notice (“Notice”).
Allwyn International AG is registered with the Federal Data Protection and Information Commissioner (FDPIC) as the data controller in respect of your personal data as it relates to your use of the Allwyn Careers Website and its data protection officer can be contacted at privacy@allwyn.com.
This privacy notice (“Notice”) seeks to explain to you how we collect, use, and look after your personal data when you access this site and inform you about your data protection rights.

3. What personal data do we collect about you?
3.1. Information you directly provide to us. When you apply for a role on our Careers Website via our application form, we will collect the following information:

- Curriculum Vitae (CV)
Optional fields
- LinkedIn profile URL
- Cover letter
If you chose to apply for one of our roles via LinkedIn Inc., or similar job boards you will be required to sign into your LinkedIn profile, or similar job board profile with your personal credentials and your personal data will be collected by LinkedIn, or similar job boards who are third-party service providers to us. LinkedIn, or similar job boards may be acting as a data controller in their own right and we recommend you read their privacy notices to understand their data practices. Information about your LinkedIn profile, or similar job board profile may also be collected by us in connection with your application.
We use an application tracking solution (“ATS”) called Recruitis.io. The use of this service will not involve a transfer of your personal data outside of the European Union.
Once your application is processed and in respect of our recruitment process, we may ask you to provide the following information: right to work, identity documentation, and references.
We may indirectly receive limited special categories of personal data, such as your gender identity or racial and ethnic origin, if you choose to include this information in your CV and application, as well as any disclosed or undisclosed impairments or disabilities shared with us to facilitate your interview process.
You may be invited to attend interviews meetings by phone or video conference systems (e.g., Microsoft Teams). At present we do not record your voice or image for the purpose of these interviews. If we decide to record interviews in the future, we will obtain your permission beforehand.
3.2 Information we collect through cookies. We collect information using cookies to protect our Careers Website, offer you a personalised experience with us, and improve our Website. 3.3 Information we collect through your device. We collect the following information from your device when you connect to our Careers Website: information about your device’s hardware and software, use of the Website, traffic information, IP address, time of access, date of access, web page(s) visited, language(s) used, software crash reports, device information including the unique device identifier.
3.4 Information we collect from third parties. Before we make an offer of employment, we may also collect results of pre-employment screening checks for certain roles in certain jurisdictions based on the obligations conferred upon us by applicable legislations and regulations.
3.5 Information we collect from publicly available sources. We collect information about you through publicly available recourses with professional relevance. We use the following public sources: job boards that you have registered your details on. Online CV libraries, by reference or word of mouth (for example you may be recommended by a friend, a former employer, a former colleague or even a prevent employer or we may get a reference from your previous employer, or a named referee included on your CV).
4. How we use your personal data?
We use your personal data in the following circumstances:
• to process your job application submitted and oversee our recruitment process by engaging with interested candidates, we will handle your personal data to facilitate Allwyn’s recruitment activities. This includes arranging and conducting interviews, administering applicant tests when applicable, performing pre-employment screening, evaluating and assessing results, and carrying out other necessary steps in the recruitment and hiring process.
• to enable us to consider you for suitable internal positions that may arise where they align with your skills and experience.
• to comply with our legal obligations and rights, under contracts and at law, and to cooperate with authorities and investigations as required.
• to maintain our business relationship where you are a user of our Careers Website.
• to analyse visitor trends and traffic on our Careers Website – this information does not identify you individually – and ensure that content from our site is presented in the most effective manner for you and for your device to provide good candidate experience (see section 3.2 and 3.3 above).
• to keep our site safe and secure.

5. What legal basis do we have for using your information?
We will only use your personal data as permitted by law. Most commonly, we will use your personal data in the following circumstances:
• To perform the contract, we are about to enter into or have entered into with you

6. Who do we share your personal data with and why?
We may share your information with the following categories of third parties for the purposes highlighted in section 4 above:
6.1 Sharing your personal data within our group: Your personal data will be disclosed to companies within our group in accordance with applicable data protection laws and the terms of this Notice for the purposes explained in section 4 above.
6.2 Sharing your personal data with our service providers, for example, agencies which carry out pre-employment checks on our behalf.
6.3 Sharing your personal data with Recruitis.io
Our ATS is provided by Recruitis.io registered in the Czech Republic. This means your personal data will be shared with and stored by Recruitis on our behalf to help manage our recruitment and hiring process. This third party is acting as a data processor to us and under our instructions subject to a Data Processing Agreement, which contains the necessary security instructions on how to protect your personal data.
The third party uses the rental of virtual servers from a third party called NETHOST and the servers are located in Europe. Once you submit your personal to our Careers Website, it will not be transferred outside of Europe.
Access to your personal data is limited to specific permissions within the ATS.
7. How long do we keep your personal data for?
Your personal data will be retained by us for 12 months from the date the process for your most recent application closes.
8. How do we keep your personal data safe?
We limit access to your personal data to those employees, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality.
9. Where do we transfer your personal data?
We primarily store and process your personal data within the UK, Switzerland and Europe. However, if it becomes necessary, we or our service providers may transfer your personal data outside of these regions. In such cases, we ensure that appropriate legal safeguards are implemented to protect your data. These safeguards are designed to ensure that your personal data is handled in a manner consistent with the data protection regimes of the UK, Europe, and Switzerland.

This is a security measure to ensure that your personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Our primary hiring focus is on the UK, EU, and Switzerland. For applicants from other territories, applications must be submitted via email to careers@allwyn.com. Applications will be reviewed on a case-by-case basis, depending on role and legal requirements.
1.How do we handle such applications?
• Applications will be manually processed by our People & Culture team rather than through our ATS, Recruitis.io. This includes reviewing applications, conducting interviews, and assessing candidates for relevant roles. Your data will not be subject to processing within our ATS.
• Your personal data will not be subject to automated tracking, cookies, or analytics tools from our Careers Website.
• Your personal data will not be shared with third-party job boards or recruiters unless necessary for the recruitment process.

3. Cross border transfers
As an international company, we may transfer your personal data to our servers in the UK, EU, or Switzerland. Where legally required, we will implement safeguards equivalent mechanisms to ensure your data is adequately protected.
